POSITION: Front Office Coordinator

Front Office Coordinator

REPORTS TO:

Human Resources Manager

GENERAL SUMMARY:

The Front Office Coordinator serves as the first point of contact for visitors, clients, and employees, offering a professional and welcoming presence. This role is also responsible for providing administrative support to the Human Resources (HR) department and assisting with various office operations, including communications, and day-to-day office management.

QUALIFICATIONS:

  • Must be bilingual: English/Spanish
  • Basic knowledge of HR functions and administrative tasks is preferred
  • Excellent communication skills, both verbal and written
  • Ability to handle sensitive and confidential information with discretion

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent (Associate's degree is a plus)
  • Proficient with Microsoft MS Suite.

ESSENTIAL FUNCTIONS:

  • Greet and welcome visitors, clients, and employees in a friendly and professional manner
  • Answer, direct, and manage phone calls, emails, and other forms of communication
  • Ensure visitors complete the necessary check-ins and required documentation.
  • Maintain a clean, organized, and welcoming front desk area.
  • Assist employees and visitors with inquiries
  • Manage mail, packages, and office supplies inventory.
  • Support HR administrative functions, including scanning documents, filing, and database updates.
  • Assist with the onboarding process for new hires, preparing documentation, and coordinating training schedules.
  • Help with recruitment efforts by scheduling interviews and maintaining communication with candidates.
  • Other duties as assigned

PHYSICAL REQUIREMENTS:

  • This employee regularly works in an office environment.
  • Ability to frequently sit, stand,
  • Ability to handle weighting items under 25lbs or may need to move objects safely and with proper body mechanics.
  • Vision abilities required by this job include close vision, distance vision and the ability to adjust focus

PAY RANGE:

$18.00-$25.00/hr
